September 2026 Feature Updates: Staff Scheduling, Equipment Tracking & Nimbus AI

September's Airstudio release gives photography studios new ways to schedule staff, track equipment and resources, audit yearbook photography, and get answers from their data with Nimbus AI. Here's everything that's new in the photography studio software this month.

New Features

Scheduling Tools

Visual Staff Scheduling Tool – Match staff to jobs faster, even for large operations. Everything you need is on one screen: drag-and-drop scheduling, job roles, staff roles, and the key details for making assignments quickly. It's available in your Airstudio environment now.

One-Click Staff Schedule Notifications – Send every scheduled staff member their job assignments with a single click. Each person receives a detailed email listing their events for the selected period.

Guided New Job Creation – A simplified, step-by-step form makes adding jobs easy for new and experienced staff alike.

Resource Monitoring and Allocation – Track equipment, staff roles, and setups across the whole company or by team. Set how many of each resource you have available on a given day, such as Lead Photographers, Underclass Vans, or Underclass Setups. The system tracks how many are used and how many remain, and alerts you when you're running low.

For example, if you have 10 Lead Photographers on staff, a red flag appears in that day's header as you approach 10 assignments. The same works for equipment bags and setups. Everyone on staff can see how close any day is to full and plan accordingly.

Job Processing Tools

Yearbook Photography Audit – Compare photographed and not-photographed data from any ecommerce system against your Airstudio records, and automatically flag discrepancies. Nine outlier checks help ensure every photographed student is included and every gallery is matched to the correct student.

Equipment Tools

Tracking Required Equipment on Jobs – Equipment managers can specify the bags or items each job requires. As staff are assigned, the equipment issued to them long-term is checked against those requirements. You can also issue extra items for a specific job, and those are tracked too.

Missing Equipment Flag – If a job is short on equipment, counting both long-term items held by assigned staff and items issued for that job, a Missing Equipment flag appears on the job so it can be checked before the shoot.

Communication Tools

Multiple Email Senders – Set up multiple "From" addresses and choose which sender each notification comes from, so Sales, Scheduling, Equipment, and other teams each have their own.

Automated Upload and Download Notifications – When you create an upload or download link, the system can automatically email your school contacts to let them know it's ready and how to access it.

Nimbus AI

Nimbus is an AI assistant that understands your photography business and your data.

• Data Analysis – (available now) Get on-demand reports, charts, P&L analysis, and more, built directly on your Airstudio data and kept secure. Free for the first month; usage charges apply after that.

• Ask for Help – Describe what you need in plain language, for example: "Nimbus, add a job for Football Group and Individuals at Kensington High School on August 21, 1:30–3:30 PM, with 2 photographers and 1 receptionist." Nimbus will build the job for you or walk you through it step by step.

• Training – (coming soon) A built-in training library will guide users through each area of Airstudio for self-serve onboarding. You can also create custom trainings by showing Nimbus what you want it to teach your staff.

• Saved Prompts – When a prompt produces exactly the export you want, save it to reuse later.

Enhancements

Employee Tools

Staff Hours on Schedule Pages – Hours booked for the period now appear on employee records, employee schedules, and the main schedule page, making it easier to stay within overtime limits.

Staff Distance from Job – When assigning staff, the dropdown now shows each photographer's distance from home to the job, so you can make better-targeted assignments.

Simplified Custom Fields – Group custom fields into categories that appear as a dropdown on each record. No more long lists of fields, just neatly organized categories.

Email Employees – Email employees individually or in bulk, directly from the Employee tab.

New Employee Record Fields – Record each staff member's preferred pronouns and an employee ID number.

Esign

Esign Invoice Integration – Send an invoice along with an Esign contract in a single step.

Esign Previews – Preview an Esign notification before it's sent.

Tasks

Default Task Collections – Assign a default task collection to any session type. When you add a job of that type, its workflow is attached automatically.

Booking & Job Tools

Portrait Session Add-Ons – Offer products or services as clients book, increasing upfront revenue. Configure anything from a print package or digital image package to "Cap and Gown Photos – 10 Minutes" as an add-on in the booking flow.

QR Code Tracking for Timestone Users – Generate a QR code containing only the student ID number for Timestone student identification on picture day.

Reschedule Limits – Limit how many times clients can reschedule a portrait booking.

GotPhoto Job Date – Support for GotPhoto's Job Date field, which triggers GotPhoto's marketing emails.

Override Booking End Times – Let sales staff add last-minute bookings to senior portrait jobs on the fly.
